Teams staying overnight
Teams in accommodation must inform us of their arrival time, accommodation/room lists, and any special dietary needs or food allergies, following the instructions given by our accommodation sales service.
Importat dates:
May 18th: Room allocation lists
May 31st: Final invoices due
June 15th: Information on guide requirements
June 23th: Completion of player lists after the match schedule is released (separate instructions)

Accommodation lists and player lists
Player and accommodation lists, as well as the details of the team’s staff members, must be filled out using the team code on the helsinkicup.torneopal.fi tournament website before the team’s arrival at the tournament.
Player list instructions will be provided separately by the tournament organizers.

Arrival at the hotel
Teams with a tournament package can check in at the hotel starting from 3:00 PM on the arrival day, and the room must be vacated by 12:00 PM on the departure day. If you arrive in Helsinki before this time, you may be able to store your luggage at the hotel’s luggage storage until the room is ready.
For more details, please ask at the reception desk of the respective hotel.

Arrival in Helsinki
For teams with a tournament package, it is possible to arrange a guide to meet them at the train or bus station. If a guide is needed, the team must contact the tournament organizers in advance by June 15th, 2025. If no guide is provided, the tournament packet will be delivered either to the accommodation or the tournament office.
Teams with a tournament package can check in for the tournament directly at the accommodation or at the tournament office. During check-in, tournament packs will be handed out, containing tournament passes, diplomas and any possible medals (for 7-9 year olds and boys’ hobby series).
Check-in at the tournament office will begin on Wednesday, July 2nd, at 10:00 AM. During check-in, the team’s player list will be locked, and no changes can be made after that (please note any rule changes by category/age group).

Accommodation rules
We require teams staying overnight to follow the accommodation rules.

Only individuals staying at the hotel are allowed in the accommodation areas.

No ball games or any activities that could cause damage to the accommodation’s furnishings or property are allowed in the accommodation areas.

Any damage to the accommodation or its furnishings must be compensated by the guest.

Disturbing noise must be avoided at all times.

Smoking or the use of any substances is prohibited in the accommodation areas. Smoking is only allowed in designated areas.

The storage of valuables in the accommodation areas is the responsibility of the guest. Use the in-room safe for storing valuables.

Furniture and equipment in the accommodation rooms must not be removed from the room

Guides
- The tournament package includes Helsinki Cup guide services. Please notify the organizers of any guide requirements by June 15th.
- Guides will meet teams at the train station, harbor, or airport, as needed, and will transport the teams to their accommodation using public transportation.
- Guides will assist teams in traveling from their accommodation to the match venues.
